Your role

  • Keeps the Director of Finance’s schedules and appointments.
  • Handles all phone calls for the Director of Finance.
  • For important matters and deadlines, prepares a “Follow-up” folder and remind the Director of Finance of these matters.
  • Takes minutes of the Director of Finance (as and when necessary).
  • Receives all incoming mail for the Finance Department, and sorts and delivers them to the respective accounting personnel.
  • To type all special reports requested by the Director of Finance.
  • Filing of the Director of Finance documents by item for quick reference and easy retrieval.
  • Record all incoming cheques received in the “Daily Cheques Received by Mail” and submit them to the General Cashier by 11.00 am daily. Ensure that a copy is kept in the file on a daily basis.
  • To tabulate the Daily Revenue Report and email it to the respective top management concerned.
  • To deliver all reports and documents to the designated department using a confidential envelope as and when necessary.
  • Obtain and circulate information with respect to designated meetings and prepare the official minutes as and when necessary
  • Annual Leaves/other related leaves and TMS:
  • The record leaves are taken by the accounting personnel and key-in to the TMS system.
  • Update Human Resources Department with this information in the standard template provided on a monthly basis.
  • Ensure HR Wing, TMS, and Finger Scan tally with attendance and submit to Payroll and file.
  • Ensure that Chief Cashier submits the Duty Roster for the week by every Wednesday and keys in the work schedules for the F&B Cashiers.
  • Liaise with the Car Park Management personnel on all matters related to the parking of cars.
  • Assist Car Park Pass holder with the refund of the deposit.
  • To ensure that all documentation ie. Application Forms, Correspondence, etc are filed in order.

About you

  • Secretarial qualification.  Accountancy background would be an added advantage.
  • Proficiency in both written and spoken English and Bahasa Malaysia.
  • Able to retrieve records/documents as and when required.
  • Responsive and attend to urgent requirements; maintain the confidentiality of Finance’s transactions and correspondences.
  • Coordinate and ensure that financial reports complied with targeted deadlines.
  • Team player and good communication skills
