Your role

If you are joined as Team Assistant & Logistic Support at Siemens Malaysia, you will carry the following tasks & responsibilities:

• You will act as Asset Coordinator mainly for tagging, maintaining, transferring, W/Off, Loss/theft reporting& claims, IT liaison for outstation staff and new hires arrangements & retiree checklist, counts & capitalization of assets, and Customer Service Engineers(CSE) tools.
• You will perform billings/invoices processes including the creation of Purchase Orders (PO) / Purchase Requests (PR). 
• You will be responsible for (SRS) Telekom/Maxis - estimated 50 new connections for FY22 and maintaining 170 existing connections, and new line applications. 
• You will prepare to cost for FO creation, raise PR, raise application (Email / follow up with vendor, sort broadband units with dedicated sim cards (maxis), update the SRS list, annual renewal for Frame-Work agreements, line connections issues & termination letters, bills processing, bills to payment team, SR's bills tracking/follow-ups on a timely manner. 
• You will be responsible for the NEXUS process includes; PR creation for various CS issues (New Vendors, Notebooks, office equipment, office IT supplies, etc.).
• You will coordinate with stakeholders to prepare training letters, training materials, events & meetings/catering arrangements.
• You will support nominations, prepare delegations, vendor creation/extension/updates.
• You will backup and extend support to the Logistic Team 
• You will support tools calibration; follow up on tools due for calibration. 
• You will coordinate arrangements with CSE and Vendor on timely basis Standby on receiving and coordinating spare parts/ tools and certificates.
• You are required to be on standby for receiving and coordinating spare part/tools and certificate when required. 
• You will support in letter preparation for VISA application – (internal & visitors). 
• You will support  Hotel Bookings (normally for RSC, HSC, and Oxford, Assist the outstation engineers with approval (HOD, CFO, CEO). 
• You will be responsible for courier arrangement for outstation engineers (documents, parcels, assets, etc.) / prepare parcels annually (i.e. diaries etc.). 
• You will assist and execute company events when required.
